Live transfer for sales calls: round-robin done right

The moment a lead qualifies is the moment they are most ready to talk. A live transfer puts them on the phone with a rep before that moment passes.

What a live transfer is

A live transfer, sometimes called a warm transfer, connects a qualified caller directly to a salesperson while the caller is still on the line. There is no "someone will call you back." The rep picks up, hears a short summary, and the conversation continues.

Only dial when someone can take the call

Transfers fail most often for a mundane reason: nobody is available. Peregrine checks availability before it dials a new lead. Each rep has an on/off switch and weekly hours in their own time zone. When nobody is on, new leads wait and are called the moment a rep becomes available.

Round-robin that is fair

Peregrine rings reps in round-robin order by who was least recently connected, not who was least recently rung. A rep who misses a transfer stays first in line for the next one, so nobody is penalized for being on another call.

If the first rep does not answer within the ring time you set, the next rep rings, up to the number of reps you choose per transfer. Every attempt is logged on the lead.

The whisper

Before the caller is connected, the rep hears a one-line summary: who is calling, from which company, and the one fact that matters, such as "wants to go live before spring." The rep starts the conversation already knowing why the person called.

When nobody picks up

If every rep misses the transfer, Peregrine apologizes to the caller, tells them a specialist will call back, and schedules the callback for the next time a rep is on. The lead is flagged as hot in your dashboard with the transcript and the fit score. Email delivery of hot-lead alerts is coming soon. The missed transfer appears on your reports so you can see where coverage is thin.

What to measure

Track transfer rate (qualified leads that reached a rep live), time from form to live conversation, missed transfers by hour of day, and transfers per rep. The first two tell you whether the system works; the last two tell you how to staff it.

What the caller hears

When a lead qualifies, the assistant tells them it is connecting them to someone on the team. The first rep's phone rings. If that rep does not answer within the ring time, the caller hears "One moment, I am connecting you with another specialist" and the next rep rings. If nobody answers, the assistant apologizes, says a specialist will call back shortly, and ends the call. The caller is never left on hold in silence.

Keep the wait short. With three reps at 20 seconds each, a caller could wait about a minute in the worst case. If that feels long for your buyers, lower the ring time or try two reps per transfer.

Setting up rep availability

Give each rep weekly hours in their own time zone and a simple on/off switch they control. Hours cover the routine; the switch covers lunch, meetings and sick days. When the whole team is off, Peregrine holds new leads and calls them the moment someone switches on, or books callbacks for the next morning, so a lead never reaches an empty phone.

Set a ring time per rep, typically fifteen to twenty-five seconds, and the number of reps to try per transfer. Two or three is usually right: long enough to find someone, short enough that the caller is not left waiting.

Settings worth checking

Lead ring time is how long Peregrine lets the lead's phone ring before treating the attempt as unanswered. The default is 25 seconds. Rep ring time is how long each rep's phone rings during a transfer, 20 seconds by default. Reps per transfer defaults to three. The whisper is on by default, and it reads the one-line summary to the rep before the caller joins.

The most important switch is whether Peregrine calls only when reps are available. It is on by default, so leads wait for coverage. Turn it off if you would rather qualify every lead the moment it arrives, at any hour, and schedule callbacks for the qualified ones.

Live transfer versus booked appointments

Booked appointments work well when the buyer needs time, or when the conversation requires preparation. Live transfer wins when intent is high right now: urgent services, comparison-shopped quotes, and demo requests from people who are at their desk. Peregrine does both, transferring live when someone is free and scheduling a callback when not.

Common problems and fixes

A rep's voicemail answers the transfer. Some phones send calls to voicemail after only a few rings. Set the rep ring time shorter than that, or have the rep turn off early voicemail, so an unanswered phone falls through to the next rep.

Transfers go to reps who are not there. Check that weekly hours use the rep's own time zone, and ask reps to switch off when they step away. A switch that stays on all day defeats round-robin.

The whisper plays to an auto-attendant. If a rep is a shared line with a menu, the summary may play to the menu. Turn the whisper off, or route that line straight to a person.

Staffing from the numbers

The dashboard shows transfers and missed transfers for each rep and for each day. Use them to plan coverage. If missed transfers cluster around lunch or late afternoon, stagger breaks or add a rep to those hours. If one rep misses far more than the rest, check their phone settings and ring time before anything else. If the whole team misses on certain days, those days need more people on.

Costs and phone setup

Transfers can ring cell phones, desk phones or a shared office line. Peregrine is priced by leads handled, so adding reps to the rotation does not increase the bill, and a single shared line that fans out to a team works just as well as individual numbers.

Questions

Does live transfer work with a single shared sales line?

Yes. You can add a shared line or an auto-attendant as a rep. Peregrine pricing is based on leads handled, not seats, so it costs the same either way.

Can reps opt out when they are busy?

Yes. Reps toggle themselves on or off, and their weekly hours are respected automatically.

Is the transferred call recorded?

Peregrine transcribes the AI portion of the call for your records. It does not record the conversation between the caller and your rep. If you record calls on your own phone system, check the consent rules in your states first.

Call every lead in seconds

Peregrine calls new leads seconds after they submit a form, qualifies them on your criteria and live-transfers the good ones to whichever rep is free. Try it free for 14 days and 50 leads.
